A reminder sent over WhatsApp or SMS before the appointment time keeps the customer from simply forgetting. Adding a confirmation request — letting the customer say “I’ll be there” or “cancel” with one tap — gives you something extra: a cancellation arrives days ahead rather than minutes before the slot, leaving time to fill it.
A waiting list that fills itself
When an appointment is cancelled, that slot should not just sit empty — it should be offered automatically to the next customer on a waiting list. Especially at the busiest hours (afternoons, weekends), a waiting list turns a cancellation into a booking for someone else instead of a lost hour.
Self-service through the customer portal
If a customer doesn’t have to call you to reschedule or cancel, both sides save time. A customer who can see their own appointment through the portal and move it to another open slot themselves is far less likely to simply not show up without warning.
Win-back messaging, kept separate
Apart from reminders, a win-back message to customers who haven’t booked in a while also works. Sending it shows the segment, the template and the delivery result on one screen; every message carries an opt-out link, and once a customer opts out they are not included in that campaign list again.

Running both through the same list at the same frequency risks the reminder itself being read as spam. Keeping the two flows separate — a reminder as an automatic event tied to the booking record, a win-back message as a separately scheduled campaign — protects both the customer experience and delivery performance.
Getting the timing right
A single reminder is not always enough. One sent a day ahead helps a customer plan their day, while a second one sent a few hours before the appointment catches last-minute forgetting. Tying both to the same confirmation link means a customer who misses the first one can still cancel from the second.
Example: an afternoon slot at a skincare studio has a high no-show rate on weekdays. Once reminders and confirmation requests are turned on, fewer customers simply forget; because most cancellations now arrive at least a day ahead, those slots get filled by offering them to customers on the waiting list.

- In the Booking and Capacity Management module, you set a reminder schedule for each appointment (for example, one day and a few hours ahead); the reminder is sent over WhatsApp.
- The customer confirms or cancels from the link in the reminder message; a cancellation is recorded on the booking immediately.
- A cancelled slot is automatically offered through the waiting list inside the Booking and Capacity Management module; the first customer to accept gets the slot.
- Through the Customer Portal, the customer views their own appointment and reschedules it themselves to another open slot.
