Attendance tracking and parent notification
Tracking attendance at a school isn’t enough on its own — you also need to show that the parent was reached, and that reaching them can be proven. What an inspection asks for is not intention, it’s the delivery record. At an institution with more than one branch or campus, the absence threshold and notification channel can be defined differently per branch; one campus’s administration might set the threshold at 8 days while another picks a different number for its own student profile. Whichever branch a student is enrolled at, that branch’s rule applies to their card.
Absence threshold and automatic notification
How many days of absence matter can differ from one institution to another; in Rotenta this threshold sits as a setting the institution defines for itself, not a number baked into the code. Once a student’s absences cross that defined threshold, the parent notification fires automatically — it can go out over WhatsApp, email or an in-app notification, and which channel is used depends on the institution’s own setup.
Delivery proof: what an inspection actually asks for
It isn’t enough to say an absence notice was sent; you need a record of who it went to, which template was used, when, and whether it was delivered (or wasn’t). In Rotenta, every send lands in the Roles, permissions and audit trail record with the recipient, the text used, a timestamp and a provider reference — a message sitting in a queue is never shown as sent. Because an absence notice counts as a transactional message, it goes out regardless of bulk-messaging consent rules, exempt from parental opt-in — that distinction is defined in the Consent management module.
The rule that fires the notification, and the parent portal
Crossing the absence threshold is a trigger; which threshold sends a notification through which channel is defined as a rule, and once that rule changes it applies from the next day with no code change needed. A parent who wants it can check the same information themselves: through a customer portal, they can view the attendance history and, where it applies, the exam results — so they’re not left waiting for a message every time.
Excuse documents and the bulk-messaging boundary
When a parent submits an excuse document for an absence, it’s attached to the student card and the attendance record updates accordingly, with the submission date kept on record too. Because an absence notification is a single, transactional message, it’s kept separate from the delivery limits that apply to bulk announcements or campaign messages sent to the same parent — one being active never blocks the other.
Exams and report cards
In a course or tutoring-centre profile, this process sits at the centre of the product: mock exam results are imported, net-score analysis and trends are shown, and the report card is produced as a PDF. In a full-time school, the exam/report-card process sits on the same student card as attendance — a student’s absence history and exam results can both be seen from the same screen.
KVKK care for a child’s data
Information tied to a student — the reason for an absence, a health report, a guidance note — is a child’s personal data. Turkey’s Personal Data Protection Authority (KVKK) stresses that anyone building products or services that touch children’s data must show the utmost care in that area (source: KVKK). In Rotenta, that care shows up as field design that collects and processes data only for its stated purpose, a separate permission on sensitive notes, and every access landing in the audit trail — accounting or shuttle staff don’t see a health report or guidance note; only staff with that specific permission do.
Example: at a 600-student college, around 40 students a year cross the absence threshold in an average school year. With the notification automated, the administration can see from a single list which parents were informed and which messages failed to deliver — say, because of a wrong phone number; tracked by hand, that list would only surface at the end of the term, and too late.
Holding up through enrolment season
Absence notifications don’t go out at the same volume every day of the year; send volume spikes on heavy days such as the start of term or exam periods. A bulk send is queued, and if it’s interrupted it picks up where it left off — a message already delivered is never sent twice, and which messages went out during the interruption can be seen from the record.
